    Monthly plan

    $15 to $600 / month. Fixed fee with limits on storage or seats. Predictable; every extra month costs the same.

    Per seat

    $15 to $100 / seat / month. Pay per admin or user. Efficient for small teams, expensive once advisers multiply.

    $0.40 to $0.85 / page. Legacy model. Fine for light sets; scanned archives can explode the bill.

    Rule of thumb: per-seat billing suits teams of 4 or fewer paid seats, per-page billing suits small sets of clean digital files, and most other deals land cheaper on a flat monthly plan. Duration moves the line: page fees are paid once, so every extra month lets a page-priced room carry more documents before it costs more than a flat plan.

    1. Duration

      The longer the room is live, the more you pay on monthly and seat plans.

    2. Users and parties

      Seat-based plans and enterprise quotes scale with reviewers.

    3. Volume

      Pages and storage, especially scanned historic documents.

    4. Advanced features

      SSO, redaction, analytics and AI often sit on higher tiers.

    5. Service

      Managed onboarding and round-the-clock support are priced in.

    6. Currency and tax

      USD list prices, plus VAT, GST or sales tax where applicable.

    Simple test: a quote that leaves any of these lines blank is not finished. Ask for the missing numbers in writing; providers that price transparently will answer in one email.

    Negotiating

    Negotiating a better price

    Data room pricing has more room in it than the rate card suggests, especially on quotes. Five moves, in the order they work best.

    1. Know your number first

      Run your process through the calculator above so the opening quote is measured against a range, not a guess.

    2. Ask two providers the same question

      Send identical inputs, the same months, seats and pages, so the quotes line up line by line.

    3. Trade term for rate

      Commit to a realistic duration in return for a lower monthly fee and a capped price for any extra month.

    4. Put ceilings on the variables

      Turn page, storage and seat charges into a flat fee or a hard cap, so a late document dump does not rewrite the budget.

    5. Agree the exit on day one

      Archive format, read-only window and closing fees go into the order form, while you still have leverage.

    Pricing FAQ

    What does a virtual data room cost?

    Entry plans with published prices run from about $15 to $299 a month among the providers we track. Enterprise rooms are quoted per project and commonly land between a few thousand and several tens of thousands of dollars, depending on size, term and service.

    Which pricing model is cheapest?

    It depends on the deal. Monthly plans win for short processes with many viewers; per-seat plans win for small internal teams; page-based plans only make sense for small, clean document sets. Model your own numbers in the calculator above.

    When does per-seat billing beat a monthly plan?

    On mid-market rates, per-seat billing stays cheaper up to 4 paid seats. From 5 seats a typical flat monthly plan costs less. In our model only internal admins are paid seats; check whether a provider also charges for outside reviewers.

    Which providers publish their prices?

    6 of the 16 providers we track publish an entry price: Ellty, Box, CapLinked, SecureDocs, Digify, DocSend. The other 10 quote per project.

    Are taxes included?

    Usually not. Depending on where you are and where the provider bills from, VAT, GST or sales tax may be added or self-assessed. Check with your finance team.

    How do I avoid surprise charges?

    Ask in writing about extension pricing, overage on pages, storage or users, archive delivery at closing and minimum terms before signing.

    Do cheaper rooms compromise security?

    Not necessarily. Permissions, watermarking and audit trails are standard in reputable rooms at every price point. Higher tiers mostly add SSO, advanced analytics, managed services and capacity.
