Few pairs in our directory are as close on paper as this one. Intralinks, founded in 1996 in the United States, is one of the oldest names in virtual data rooms and has long served banks, asset managers and large corporates. Firmex, founded in 2006 in Canada, is a mainstay of mid-market M&A and law firm work. Their feature lists differ by a single item, both hold ISO 27001 and SOC 2, and both round to the same 4.4 rating. The decision between them is about who the room is for: an institution with a strict identity policy, or a varied cast of outside users who log in now and then.

The pillar breakdown
| Pillar and weight | Intralinks | Firmex |
|---|---|---|
| Security (25%) | 9.6 | 9.0 |
| Deal features (25%) | 9.4 | 8.3 |
| Ease of use (20%) | 7.5 | 9.0 |
| Value (20%) | 7.8 | 8.5 |
| Support (10%) | 9.3 | 9.2 |
Firmex’s weighted score is 8.745 out of 10 and Intralinks’ is 8.740, a difference of five thousandths. Both round to 4.4. Intralinks wins three pillars, including the two heaviest; Firmex wins ease of use by 1.5 points and value by 0.7, enough to edge ahead overall. Tied ratings are listed alphabetically in our ranking. The methodology page sets out the weights.
Security: one control apart
Both rooms cover the full set of document controls: two-factor login, dynamic watermarking, document rights control, a complete audit trail and built-in redaction. Both hold SOC 2 and ISO/IEC 27001, the two references most vendor questionnaires ask about.
The difference is identity. Intralinks supports single sign-on, so an institution can require its own staff to reach the room through its identity provider, with the same joiner and leaver rules as every other application. Firmex does not list SSO. For a bank or asset manager whose policy makes SSO mandatory for third-party software, that one line settles the shortlist; for a law firm or mid-market company, it rarely comes up.
Intralinks’ 0.6-point security lead reflects SSO and its long record with regulated clients, whose own reviews shaped the platform over decades.
Deal tooling
Intralinks scores 9.4 for deal features and Firmex 8.3, the widest gap in its favor. Both run structured Q&A, granular permissions, bulk upload and redaction, so the core of a diligence process is the same. The score difference reflects the depth of configuration Intralinks offers for large, multi-workstream processes and its fit with institutional workflows.
Neither lists AI features, e-signature, a mobile app or a public API. Buyers who want any of those will need to look at other providers.
Living with the room
Ease of use runs the other way: Firmex 9.0, Intralinks 7.5. Firmex has a reputation as the room nobody complains about. A partner who opens it twice a year, a bidder’s accountant on a short deadline or a client executive who rarely uses deal software can usually find documents without help. Intralinks rewards trained administrators and frequent users, and it asks more of people who visit only occasionally.
This matters more than it looks. In a process with many outside users, every support call and every confused bidder slows the timetable.
Buying each one
Neither publishes a price; both quote per project. Firmex scores 8.5 for value and Intralinks 7.8. Firmex offers a free trial, so you can build a test room with your own folder structure before requesting a quote. Intralinks does not list a free trial, so evaluation starts with a demonstration.
Send both the same written brief: expected term, number of external users, data volume, number of workstreams and archive needs after close. Ask how each charges if the room stays open longer than planned. Our pricing guide explains how to line up quotes structured on different bases.
Note
All prices on this site are indicative. Both providers quote per project; confirm the scope and currency of any quote before you budget.Support
Support is almost level: 9.3 for Intralinks and 9.2 for Firmex. Both have long records of supporting live transactions. Ask each which hours are staffed in the time zones of your main counterparties.
Choosing one
Choose Intralinks when your organization requires single sign-on, the process is large and multi-workstream, your administrators are experienced, and the counterparty is a regulated institution that expects a long-established platform.
Choose Firmex when many participants will log in only occasionally, you want a free trial before a quote, value carries weight, and SSO is not a requirement. It fits mid-market M&A and law firm matters well.

Situations that tip the balance
A bank refinancing with a large lender group
Dozens of lenders, each with its own credit team, and an agent bank whose policies require SSO for its staff. Intralinks fits this setting, which it has served for decades: SSO handles the agent’s identity rules, and its depth of configuration supports separate lender groups and workstreams.
A law firm handling regulatory disclosure for a client
The firm needs a secure room for a client’s submission, with outside counsel and the regulator’s advisers reviewing. Participants change, many log in rarely, and some documents need personal data masked. Firmex suits this: outside users manage without training, redaction is built in, and the free trial lets the firm try it on a sample matter before committing.
A mid-market sale run by a boutique adviser
Eight to fifteen bidders, a lean adviser team and a seller’s CFO answering questions. Both rooms can run it. Firmex’s ease of use keeps the small team from turning into a help desk, and its value score suits a mid-market fee budget. Intralinks becomes the better choice only if a bidder’s or seller’s policy requires SSO.
An asset manager selling a fund stake
A regulated seller, a compliance team that reviews every supplier, and a buyer group of institutions. Both rooms hold ISO 27001 and SOC 2, which answers most of the questionnaire. If the asset manager’s IT policy requires SSO, Intralinks is the only one of the two that meets it.
Security review: what to ask both
Since the control sets match apart from SSO, the review comes down to documents and specifics. Ask each for its ISO 27001 certificate and SOC 2 report, and read the scope sections. The AICPA’s SOC 2 overview explains what the report covers. Then ask where documents and logs are hosted, how quickly a withdrawn bidder’s access is revoked, and how deletion is confirmed after the archive period ends. Using one questionnaire for both keeps the answers comparable.
Onboarding
Firmex rooms can usually be opened to outside parties with little explanation, and the free trial is the place to confirm that with your own users. Intralinks is worth a proper onboarding session for the administrators who will run permissions and Q&A, especially on a large process; once trained, those administrators use its depth to the full.
Changing provider between deals
Move between deals rather than during one. Ask for a complete archive from the old room, including Q&A and activity logs, keep index numbering identical, and rebuild permission groups from a written access matrix. Both have built-in redaction, so redaction work carries over in method if not in files. Moving to Firmex, check how staff will sign in without SSO; moving to Intralinks, plan the identity provider connection with your IT team early.
