Our rating weighs five pillars, from security to support, and turns them into a score out of 5. Datasite scores 4.5, which places it #3 of 16 in the directory. The card below sets each pillar against the average of every provider we track, so you can see whether the score comes from broad consistency or from one standout area. Its clearest lead over the field is deal features.

Feature coverage against the field
We record the same twelve features for every provider. Datasite offers 10 of them. A missing feature only matters if your process needs it, so the chart separates gaps that are common in the market from gaps most providers share. The first card holds features that half the field or fewer offer, which is where a shortlist usually splits.

Certifications and controls below are as recorded in our provider facts. A certification name on its own does not tell you its scope, so ask for the report or certificate and read which systems it covers. Anything we do not track, such as hosting regions or key management, is listed as a question to put to Datasite directly.

What Datasite could cost
Datasite prices on request, so there is no list figure to multiply. The estimator shows the range that project quotes typically fall into for a room of the size you set, clearly marked as a market estimate, next to the bands for published monthly and per-user plans.

Datasite quotes per project; pages and term move the market estimate.

Market band, per-user plans$450 to $3,000$80 to $500 a month
Datasite does not publish a price. Send the same brief (term, users, page count) to Datasite and one provider with a published plan, then compare both against these bands.
Indicative USD figures, not quotes; taxes, storage limits and higher tiers can change the total. Market bands use the model on our pricing guide; confirm the final price with Datasite.

Who Datasite suits, and who should look elsewhere
These lists are generated from the scores and feature records above, so they apply the same tests to every provider in the directory. Use them as a quick filter, then confirm any deciding point with the vendor.
A good match if
Processes that depend on Q&A, granular permissions and deal tooling every day (deal features 1.1 above the directory average).
Deal teams that expect fast, hands-on help in the middle of a process (support 0.9 above the directory average).
Teams that expect reviewers to work from a native phone app: only 2 of 16 providers in our directory offer a mobile app.
Teams that use AI to sort, summarize or search documents: only 5 of 16 providers in our directory offer AI features.
Organizations that prefer a negotiated, scoped contract to a self-serve plan.
Look elsewhere if
Your process requires signatures collected without leaving the room. Datasite does not list e-signature in our records; Ellty does. See Ellty.
Your process requires the room connected to your own systems through an API. Datasite does not list an API in our records; iDeals does. See iDeals.
You want hands-on time before talking to sales. Datasite has no free trial in our records, so ask for a demo that follows your own script.
You need a published price for internal approval. Datasite prices on request; 6 of 16 providers publish an entry price. See pricing models.
How it compares with its closest rivals
Closest does not mean highest rated. Intralinks, Ansarada and iDeals are the providers whose feature sets, pillar scores and billing look most like Datasite's, which makes them the natural names to price against. Where we have published a head-to-head page, the card links to it.

Who tends to choose Datasite
Datasite was founded in 1999 and is headquartered in the United States. Its focus is the investment banking side of M&A: large, competitive sell-side processes where a single room may host dozens of bidders across several continents.
That heritage shapes the product. It is built for the sell-side adviser who manages the process, sets the timetable and needs to see, bidder by bidder, who is engaged and who has gone quiet. It is less concerned with being instantly obvious to someone using a data room for the first time.

The combination of built-in redaction and AI features is the part most relevant to large rooms. Redaction removes a step that otherwise happens offline, and AI features help a team cope with the volume of material in a room that may run to tens of thousands of documents. The native mobile app matters to senior bankers and principals who review activity between meetings.
For large international processes, those features add up to less manual work for the adviser’s team, which is usually where the real cost of running a room sits.
Running a global auction on it
In a two-round auction with bidders in North America, Europe and Asia, the administrator’s job is mostly about access and timing: opening folders to a shortlisted group at the right moment, closing them to bidders who drop out, and tracking engagement. Datasite’s permissions and audit trail support exactly this pattern, and document rights control keeps restrictions in place after a file leaves the browser.
Data residency questions come up more often in cross-border auctions than in domestic sales. A target with European employees will hold personal data covered by the GDPR, and a buyer from outside the EU may need to see it. Datasite lists GDPR alignment, but the room’s hosting location and the transfer mechanism should still be confirmed with the provider for each deal. For background on how sell-side rooms are typically organized, see our investment banking guide.
Cost and procurement
Datasite does not publish pricing and does not list a free trial. Rooms are quoted, usually through the bank or adviser running the process, and the quote reflects scope rather than a public rate. For a company budgeting in a currency other than US dollars, ask for the quote in local currency and for clarity on what happens if the process runs past the planned close date, which is common in contested auctions. Our VDR pricing guide sets out the questions that keep a quoted room from producing surprises.
Because the adviser often arranges the room, the seller may never see the underlying quote unless it asks. It is worth asking, both to understand what is being charged to the deal and to check that the scope, such as storage or user numbers, matches what the process will need.
The trade-offs
Ease of use is the weakest of Datasite’s scores in our model. Regular users at banks know the platform well; a founder, a target’s finance team or a smaller bidder may need guidance before they find their way around. There is no API listed, which limits automation for corporate development teams that want to connect the room to internal systems, and there is no built-in e-signature.
None of these are unusual for a platform of this kind. They simply mean Datasite is at its best when an experienced adviser runs it, and less so when a lean in-house team is setting up a room on its own.
Rivals on the same shortlist
The most common head-to-head is with Intralinks, another long-established US platform; our Datasite vs Intralinks page covers the differences. Teams that want comparable deal features with a published price often look at Ellty, discussed in Ellty vs Datasite.
