Cost estimator

iDeals and Firmex over your timeline

Pick a term in months and a count of paid seats to see both bills side by side. Only listed entry prices are used; vendors that quote per deal appear as quote on request.

Entry plans here are not charged per seat, so the month count is the only input that moves the totals.

Totals use the cheapest USD tier each vendor publishes. Upgraded tiers, added storage, additional administrators and tax will raise what you actually pay.

iDeals Quote on request Set per deal once the scope is agreed Industry range we track, not iDeals's own price: Typically between $5,000 and $50,000+ for a project, rising with volume, length of deal and support needs. Trial available

Each vendor quotes deal by deal. Send both the same scope and duration so the two quotes line up.

Rough figures; the vendor's own quote is what counts. Quote bands reflect typical market pricing from our pricing guide.

iDeals (founded 2008, United Kingdom) and Firmex (founded 2006, Canada) are both established transaction rooms with a free trial, both quote on request, and both include the redaction and Q&A tools that many alternatives lack. They regularly appear on the same mid-market and enterprise shortlists. iDeals rates 4.6 out of 5 in our model and Firmex 4.4; this page explains where that gap comes from and when it matters.

iDeals leads on four of the five pillars. The largest gap is in deal features, 1.2 points, followed by security at 0.6. Firmex’s one lead is ease of use, by half a point. The weighted totals are 9.205 for iDeals and 8.745 for Firmex out of 10, which become 4.6 and 4.4. See the methodology for the full model.

Security

Both hold SOC 2 and ISO 27001, and both include two-factor login, dynamic watermarking, document rights control, a full audit trail and built-in redaction. That is a strong baseline for either.

The difference is identity management. iDeals supports single sign-on; Firmex does not, according to our records. For organizations that require every external application to sit behind their identity provider, that alone can settle the question. For everyone else, both rooms protect documents in comparable ways.

Redaction is worth noting for both. Data protection laws such as the EU GDPR and Canada’s PIPEDA push deal teams to minimize the personal data they disclose. Having redaction built in, as both of these do, removes a separate step from the workflow.

Deal features

The core diligence workflow is shared: bulk upload, granular permissions, structured Q&A, watermarking and activity reporting. Neither offers AI features, native e-signature or a mobile app in our records.

iDeals adds an API, which allows the room to connect to internal systems, and its Q&A and permission tools are deeper overall, which our deal features score reflects. Firmex keeps its feature set focused, which is part of why it is quicker to learn.

Ease of use

Firmex’s 9.0 for ease of use is one of the higher scores among established enterprise rooms. Set-up is straightforward and bidders, lenders or opposing counsel can usually navigate it without help. iDeals, at 8.5, is also comfortable for most users, but its additional depth means slightly more to learn for anyone using it only occasionally.

Pricing

Neither publishes prices. Both quote by project, and both offer a free trial, so the practical route is to run a short trial with each and request quotes for the same scope. iDeals scores 8.8 for value and Firmex 8.5, a narrow gap reflecting what each includes rather than a published price difference. Our pricing guide explains common billing models.

Note

Ask both vendors how they charge if your process runs past its expected close. Extension terms can vary between vendors as much as the headline quote.

Support

iDeals scores 9.7, among the highest in our line-up; Firmex scores 9.2. Both are well above the middle of the market.

Choosing between them

iDeals is the better fit if you need single sign-on or an API, you want the stronger deal tooling for a complex or multi-bidder process, or the highest support score is a priority.

Firmex is the better fit if simplicity for outside parties matters most, your process is a straightforward diligence exercise or legal matter, and SSO and an API are not required.

Pick iDeals or Firmex: the deciding conditions

Pick iDeals if
  1. 1Single sign-on is required for external applications
  2. 2The room needs to connect to internal systems through an API
  3. 3A complex or multi-bidder process calls for deeper deal tooling
  4. 4Support carries real weight, where iDeals scores 9.7 against 9.2
Pick Firmex if
  1. 1Outside parties should be able to start with minimal guidance
  2. 2The process is a straightforward diligence exercise or legal matter
  3. 3SSO and an API are not on your requirements list
  4. 4A focused feature set suits your administrators better than depth
Look elsewhere if you need AI features, native e-signature or a mobile app. Neither lists them in our records.

Scenarios that separate them

A multi-bidder auction run by an advisory firm

Several bidders, staged access as the process narrows, and a heavy Q&A load in the final round. iDeals’ stronger deal tooling, with a 1.2-point lead on that pillar, is built for this. Its permissions and Q&A handle the staged process with fewer workarounds, and the API helps advisers who track many mandates in their own systems.

Litigation or regulatory disclosure handled by a law firm

Opposing counsel and experts log in occasionally, documents contain personal data, and nobody wants to spend time on training. Firmex’s ease of use and built-in redaction fit this well. iDeals would also work, but its extra depth brings little benefit to a disclosure exercise.

A corporate buyer with strict identity policies

A large company acquiring a business requires every outside platform used by its team to sit behind its identity provider. iDeals supports single sign-on; Firmex does not in our records. In that situation the decision is made before any other feature is compared.

A first sale for a family-owned business

A management team using a data room for the first time, with one or two likely buyers. Firmex’s simpler interface keeps the room easy to run for people who will use it once. iDeals’ higher support score is a reasonable counterweight if the team expects to ask for help often.

Security posture: shared baseline, one gap

Both hold SOC 2 and ISO 27001 and include two-factor login, dynamic watermarking, document rights control, an audit trail and built-in redaction. The single gap is SSO. To compare the rest on equal terms, ask both vendors for the scope of their ISO 27001 certificate, the hosting regions available to you, and how quickly they can disable all access for a party that leaves the process. Ask too how long activity logs are retained after the room closes.

Onboarding and support

Both offer a free trial, which is the most direct way to judge onboarding. Set up the same small folder structure in each, invite a colleague as a mock bidder, and time how long it takes to grant access, answer a question through Q&A and pull an activity report. Firmex will usually feel quicker to learn; iDeals will show more options at each step. On support, ask both how they cover evenings and weekends near signing, when urgent requests tend to arrive.

Switching between iDeals and Firmex

The shared feature set makes moving between these two simpler than most pairings: both have structured Q&A, redaction and bulk upload, so the workflow concepts carry over. Plan the move between deals, archive the outgoing room in full, and recreate permission groups from a written access list. If you move to iDeals for its API, design the integration before the first live room, not during it.

Framing the quote request

Both quote per project, so the estimator above shows quote on request for each. Two details tend to move these quotes most: how long the room stays open and how many parties need access. Give both vendors the same figures for each, and ask whether the price covers several rooms if you run more than one process a year. Ask too whether redaction and Q&A sit in the base price, since both include them in our records; confirm neither is charged as an add-on.
