Intralinks alternatives: other enterprise-grade rooms worth pricing

Intralinks has been running virtual data rooms since 1996, which makes it one of the oldest names in the category. Banks, asset managers and large corporates know how it works, and their security teams have usually approved it before. That familiarity is a real advantage.

So why look elsewhere? The reasons we hear most are practical: a quote that does not fit the deal, a wish to test a room before committing, occasional users who find the interface slow to learn, or a team that wants AI tools inside the room. Our Intralinks review covers the platform itself. This guide is about the alternatives, compared on the same terms.

An alternative has to clear the same bar Intralinks clears for a regulated institution, or the comparison is meaningless. We used five tests, all drawn from our feature records:

  1. A structured Q&A module, because diligence questions need routing, approval and an audit trail.
  2. Independent certification, meaning SOC 2 and, for most institutional buyers, ISO 27001.
  3. Identity controls, chiefly single sign-on and two-factor login.
  4. Document controls, including redaction and document rights management.
  5. A commercial model you can work with, which includes whether you can test the room and whether pricing is published.

That rules out content clouds and sharing tools, which are useful but answer a different brief. It leaves six providers.

Datasite: the closest match for large processes

Datasite was founded in 1999 and, like Intralinks, is headquartered in the United States. On paper the two are near twins: SOC 2 and ISO 27001, Q&A, redaction, watermarking, document rights control, SSO and two-factor login. Neither offers a free trial and both quote on request.

The differences are in tooling. Datasite lists AI features and a mobile app; Intralinks lists neither. In our scoring Datasite rates 4.5 out of 5 against 4.4 for Intralinks, with the gap coming mostly from ease of use and value. Our Datasite vs Intralinks comparison sets out each pillar.

If your reason for leaving Intralinks is cost, Datasite is unlikely to solve it on its own. If it is the experience for bidders, or the absence of AI tools, it is worth a quote.

iDeals: matching controls, with a trial

iDeals, founded in 2008 and headquartered in the United Kingdom, matches Intralinks on the controls a compliance team checks first: SSO, two-factor login, redaction, document rights management and both certifications. It also lists an API, which Intralinks does not.

The commercial difference is the free trial. A team can build a test room, invite colleagues and check the permission model before procurement begins. iDeals does not list AI features in our records. It scores 4.6 in our directory, with strong marks for support.

Ansarada: AI features and structured readiness

Ansarada, headquartered in Australia, holds SOC 2 and ISO 27001 and lists SSO, two-factor login, Q&A and AI features. It does not list built-in redaction in our records, so a team that redacts inside the room rather than before upload should check how that would work. Its approach leans toward preparing a room well before launch, which suits sellers who want to be ready for diligence months ahead. It offers a free trial and quotes on request. Our Firmex vs Ansarada comparison shows how it lines up against another mid-market favourite.

Ellty: full diligence toolkit, AI features and a published price

Ellty covers the core toolkit you would expect from an enterprise room: Q&A, audit trail, dynamic watermarking, document rights management and two-factor login, with AI features and e-signature on top. It is the only room in this group with a published starting price, $149 a month, and it offers a 14-day free trial. It scores 4.8 in our directory, the highest of the seven, driven by ease of use and value.

The gaps are worth stating plainly for an Intralinks buyer. Our records do not list SSO, built-in redaction or an ISO 27001 certificate for Ellty; it lists SOC 2. Teams whose security policy mandates SSO or ISO 27001 should ask directly. Our Ellty vs Datasite comparison shows how it compares with an incumbent enterprise room.

Firmex: steady mid-market rooms

Firmex, founded in 2006 in Canada, lists Q&A, redaction, document rights management and two-factor login, with SOC 2 and ISO 27001. It does not list SSO or AI features. Firmex has a long record in legal, compliance and mid-market M&A, and it offers a free trial. For institutions that need SSO, it is a gap; for many others, it is a dependable, well-understood room.

Drooms: European hosting and on-premises option

Drooms, headquartered in Germany, is the one provider in our directory listed with both cloud and on-premises deployment. It holds both certifications, lists redaction, AI features and two-factor login, but not SSO or a free trial. It is popular in European real estate. Teams for whom data location is a formal requirement, rather than a preference, should look at it closely; our Germany region guide explains the local context.

Intralinks quotes on request, and so do five of the six alternatives. That does not make them identical commercially. When you request quotes, ask each provider for the same items so the numbers are comparable:

  • the billing basis (flat project fee, monthly, per page, per user or a mix);
  • the minimum term and the extension rate once it ends;
  • what is included: onboarding, indexing, training, round-the-clock support;
  • the cost of a read-only archive and a final export of documents, Q&A and audit trail;
  • any caps on storage, administrators or outside users.

Our VDR pricing guide explains how each model behaves over a long deal, and data room prices by provider lists what vendors publish.

Negotiating tip

A quote from a room you have already tested carries more weight than a feature sheet. With four of these six alternatives offering a free trial, you can run a short pilot and take real numbers into the Intralinks renewal conversation.

Switching rooms mid-deal is rare and risky; switching between deals is normal. A clean move looks like this:

  • Export everything first. Take the documents, folder index, Q&A log and audit trail from the closed Intralinks room as an archive you control.
  • Re-run the security review early. If your institution approved Intralinks years ago, the new provider’s SOC 2 report and ISO certificate need the same review. Start before the next deal is live.
  • Rebuild permissions from a template. Map your usual groups (bidders, advisers, board, internal) once, then reuse.
  • Pilot on a small process. A financing or a small disposal is a better first deal than a contested auction.
