What is an AI processing region?

Definition

AI processing region: The geographic location where a data room's AI features actually run, which can differ from where files are stored, so data residency promises need to cover model processing too.

How it works in a data room

A provider may store files in a chosen region but send text to a model hosted somewhere else when a user asks for a summary, translation or answer. The AI processing region is where that model runs and where prompts and outputs are handled, even briefly. Some providers let customers pin AI processing to the same region as storage, others offer a regional model with fewer capabilities, and some cannot guarantee a region at all. The location should appear in the subprocessor list and the processing agreement.

Why it matters in a deal

Many sellers choose a provider for its data residency options, then switch on AI without noticing that content now leaves the region. That can trigger transfer rules, conflict with sector requirements or breach commitments made to employees and customers. Ask for the AI processing region in writing and check whether AI can be disabled for specific folders if no in-region option exists.

Example

An Australian infrastructure owner requires all deal data to stay in Australia. Its chosen provider stores files locally but runs AI summaries in another region. The provider offers to disable AI for the room, and the owner accepts. Six months later the provider launches local AI processing, and the owner enables it for the next deal.
