A trial room is easy to waste. You click through the demo folders, admire the dashboard, upload a PDF and decide it seems fine. Two weeks later the trial ends and you know little more than the sales deck told you.
The fix is to treat the trial like a rehearsal of your deal. The script below takes about four to six hours of focused work spread over a few days, and it surfaces the differences that matter: how long administration takes, how the room behaves for a bidder, and what you can take away at the end.
Which data room providers offer a free trial?
From our directory’s records:
| Free trial listed | No free trial listed |
|---|---|
| Ellty (14 days), iDeals, Ansarada, Firmex, DealRoom, ShareVault, CapLinked, SecureDocs, Box, Digify, DocSend | Datasite, Intralinks, Drooms, SmartRoom, Venue by DFIN |
Trial lengths and limits vary and change; confirm them before you start. Providers without a listed trial usually offer a guided demo or a pilot room on request, which is worth asking for, especially if your institution already uses them.
What should you prepare before the trial starts?
Ten minutes of preparation doubles the value of the trial:
- A test document set. Fifty to two hundred files that look like your real deal: a mix of PDFs, spreadsheets, a few scans, a large file, and something in another language if your deal is cross-border. Use real structure but non-sensitive content.
- Your permission plan. Three or four groups, for example internal team, advisers, Bidder A and Bidder B, with a note of what each should see.
- Two outside testers. A colleague and someone from outside your company, ideally on a different email domain, to act as bidders.
- A list of ten real questions you expect bidders to ask.
- A stopwatch. Time the admin tasks. Minutes saved per task become days saved over a deal.

Bulk upload a real folder tree
Drag in your whole test set at once. Check that the folder structure survives, large files upload, and nothing is silently skipped.
Check index numbers and conversion
See whether the room numbers folders and files automatically and keeps numbering correct when you add documents. Open spreadsheets and scans to see how they render.
Search scanned and non-English files
Search for a phrase you know is inside a scanned PDF and inside a document in another language. Full-text search that misses these will frustrate bidders.
Move and replace documents
Move a folder, upload a new version of a contract and check what the history shows. In a live deal, documents change daily.
Build three permission groups
Set up your planned groups and time how long it takes. Try folder-level and document-level rules, and see how easy it is to check who can see a given file.
Test view, print and download limits
Give one group view-only access and try, as that user, to download, print and copy. Then check what happens to a downloaded file when access is revoked, if the room offers document rights control.
Inspect the dynamic watermark
Open, print and download a document as a test user. The watermark should show the user's identity and the time, and stay readable without hiding content.
Enforce two-factor login
Turn on mandatory two-factor login for an outside group and walk a tester through enrolment. Note which methods are offered and how a reset works.
Log in as an outside user
Have your outside tester accept an invitation on a different email domain and browser. Watch for confusing emails, blocked links or click-through terms that do not appear.
Run a Q&A round with approval
Have testers submit your ten questions. Route them to experts, approve answers, release some to one bidder and some to all. Check the log.
Read the activity reports
After testers have browsed, check whether reports show who opened which documents, for how long, and by group. This is how you will judge bidder interest.
Export documents, Q&A and audit trail
Run a full export. Check the format, whether the index and Q&A come with it, and whether the audit trail is complete and readable.
Contact support out of hours
Send a real question in the evening or at the weekend. Note the response time and quality; that is the service bidders will get.
Get post-trial terms in writing
Ask for the price for your expected deal, the extension and read-only rates, the archive terms and what happens to trial content if you buy.
What are the warning signs during a trial?
Some problems only show up when you use the room as a bidder would. Take note if:
- the invitation email lands in spam, or the login asks outside users to install software;
- permissions can only be set user by user, not by group;
- the watermark covers text or cannot be configured;
- Q&A is a comment box with no routing, approval or release control;
- the export lacks the audit trail or the Q&A log, or costs extra and nobody can say how much;
- support answers in days, or only through a ticket form.
One of these may be acceptable for a small deal. Several of them together suggest the room will cost you time when the process is live.
Keep the evidence
Save the export from your trial. Comparing two exports side by side is the quickest way to see which provider gives you a usable disclosure record at closing.
How should you compare two trial rooms?
Run the same script in each and record the results on one sheet. A simple scoring table works:
| Test area | What to record | Weight suggestion |
|---|---|---|
| Upload and indexing | Time to load the set; errors; search accuracy | Medium |
| Permissions | Minutes to build groups; clarity of who sees what | High |
| Protection | Watermark quality; download and print controls; 2FA enforcement | High |
| Bidder experience | Tester feedback on invitation, navigation and viewer | High |
| Q&A | Routing, approval, release options, log quality | High for auctions |
| Reports | Detail by user and group; export of reports | Medium |
| Export and archive | Completeness, format, cost | Medium |
| Support | Response time and quality out of hours | Medium |
| Commercial terms | Price, extension, read-only and archive rates | High |
If you have already issued an RFP, use the trial to verify the answers marked “Partial”. Our data room RFP template shows how to weight requirements, and our questions to ask a provider cover the conversation after the trial.
Is a free trial enough to choose a provider?
A trial tells you how the product works. It does not tell you everything about the provider. Before signing, also check:
- Security evidence. Ask for the SOC 2 report or ISO 27001 certificate and confirm its scope.
- Contract terms. Data processing, subprocessors, hosting location, deletion at the end of the deal.
- References. A client who ran a similar deal in the last year.
Our provider directory lists certifications, features and pricing model for each provider, which helps you choose which trials are worth your time in the first place. If you are comparing a room you can trial with one you cannot, our comparison pages, such as Ellty vs iDeals, set out the facts side by side.
How long should a data room trial last?
Long enough to run the script with real testers, which usually means one to two weeks. Ellty’s free trial runs 14 days; other providers set their own terms. Plan the trial around your testers’ availability, not the other way round: a trial that ends before your outside tester has logged in has not tested the part that matters most.

Which data room providers offer a free trial?
In our directory, Ellty, iDeals, Ansarada, Firmex, DealRoom, ShareVault, CapLinked, SecureDocs, Box, Digify and DocSend offer a free trial. Datasite, Intralinks, Drooms, SmartRoom and Venue by DFIN do not list one.
How long is a data room free trial?
It varies by provider. Ellty's free trial is 14 days. Confirm the length and any limits on storage, users or features with each provider before you start.
What should I test first in a data room trial?
Upload a realistic folder tree, then build your permission groups. These two tasks reveal most of the difference in administration time between rooms.
Should I use real deal documents in a trial?
Use documents with realistic structure and file types but non-sensitive content. Do not upload confidential deal material until the contract and data processing terms are signed.
What happens to trial content if I buy?
Some providers convert the trial room into the paid room, others start fresh. Ask before you invest time building the structure.
